Overview

The order lifecycle represents the path every transaction takes through your system. Understanding each stage helps you maintain high fulfillment standards and identify bottlenecks in your shipping process.

The Data Quality Dashboard monitors your orders for common issues, such as invalid shipping addresses or stuck statuses.

Order Stages

Most orders transition through the following standard statuses:

  1. Pending: The order has been placed but payment or inventory check is incomplete.
  2. Processing: Payment is confirmed and the items are being picked and packed.
  3. Shipped: The order has left the warehouse and a tracking number is assigned.
  4. Delivered: The carrier has confirmed successful delivery to the customer.
  5. Cancelled/Returned: The order was stopped or sent back by the customer.

Managing Orders

Use the Orders module to track progress and handle exceptions.

1. Open the **Orders** grid to see all recent activity.
2. Use the **Status** filter to focus on orders requiring action (e.g., "Processing").
3. Click on an **Order ID** to view full details, including line items and shipping info.
4. Update the order status or add tracking information manually if needed.

Ensuring Order Accuracy

Inaccurate order data leads to shipping delays and customer frustration.

**Warning:** Use **Validation Rules** to automatically flag orders with incomplete addresses or missing tax information before they reach the "Shipped" stage.

If you need to correct order data in bulk (e.g., updating a shipping carrier for a batch of orders), always use a Changeset. This allows you to verify that the updates won’t trigger unintended automation or notifications until you are ready.

Best Practices

  • Monitor “Stuck” Orders: Check the Data Quality Dashboard for orders that have been in “Processing” for more than 48 hours.
  • Automate Status Updates: Use webhooks from your shipping provider to automatically move orders to “Shipped” when a label is created.
  • Sync Inventory: Ensure your inventory levels in Main Data are updated immediately when an order is cancelled or returned.

Troubleshooting

Why is an order stuck in Pending?

Check the payment status first. Most systems hold orders in Pending until the payment gateway confirms the transaction. Also, verify that all items in the order are in stock in your Main Data.
